With nearly 170 years of existence, and over 40,000 employees in more than 70 countries around the world, Savills is a company of international reputation in the real estate market.Savills Portugal is currently undergoing a strong growth and intends to reinforce its Residential team with the integration of an Administrative Assistant for its Store in Lisbon.
We are looking for an experienced professional to join our team and contribute to the smooth operation of our store. This role involves a variety of administrative tasks, focusing on administrative support to our Residential team, client communication, and document organization. The ideal candidate will be highly organized, communicative, and capable of managing multiple responsibilities in a dynamic environment.
Key tasks/ activities:
- Administrative support to the Residential Department;
- Ensure compliance with internal regulations and standards;
- Provide administrative support, namely database updates, preparation of presentations and assistance to commercial colleagues and department Directors;
- Answer phone calls and respond to emails;
- Maintain and update the property management system (CRM);
- Organize and file documents, contracts, and reports related to properties;
- Ensure that the store is well presented and maintained at all times;
- Support the team with the preparation of meeting rooms and coffee breaks;
- Guarantee stocks of supplies and other necessary items;
- Other tasks inherent to this position.
- Previous experience in Real Estate will be valued;
- Previous experience with real estate CRM will be valued (f.e.: EGO Real Estate)
- Fluent in English (mandatory);
- Knowledge of Microsoft Office tools (Word, Excel, Power Point);
- Ability to interact with clients and provide excellent customer service;
- Attention to detail and organization;
- Good time management and prioritization skills;
- Good presentation skills.
